Guidance Secretary
(Secondary School)
Preferred Qualifications:
- Possesses a high school diploma with courses in business and word processing.
- Demonstrates knowledge and skills in the use of computers.
- Communicates effectively with school division employees and the general public.
- Is able to effectively perform the various responsibilities as specified in this job description.
Performance Responsibilities:
- Supervises school’s main office for efficient operations.
- Supervises the maintenance of an appealing and clean school office complex.
- Positively greets students, school employees, other school division personnel, parents and visitors.
- Screens walk-ins for appointments with principal or assistant principal.
- Answers the telephone in accordance with school procedures.
- Word process forms, letters and reports from rough drafts or clean copies
- Records all appointments and maintains school calendar of activities and the use of facilities within the building or on school grounds.
- Receives, sorts, and distributes U.S. mail, inter-school mail, and central office division mail.
- Organizes information and maintains accurate files by discarding outdate information
- Creates new files within file cabinets as necessary.
- Acts as information resource to school employees and the public on variety of matters related school operations.
- Requisitions office and school supplies and instructional materials. Maintains an on-hand inventory of supplies and materials.
- Registers new students and processed all required paper work as necessary.
- Acts as information resource to school employees and the public on variety of matters related to school operations, regulations, and policies.
- Maintains confidentiality of school board office and school related information.
- Performs other job-related duties as required by immediate supervisors.
- Maintains payroll records, key in leave and substitute pay
Terms of employment: 190 days per year. Secretary Salary Scales
